- Reduces mistakes, saves time and costs.
- Motivates employees by keeping them informed.

Communication Methods
| Method | Benefits | Limitations |
|---|---|---|
| Oral (meetings, phone calls) | Quick, immediate feedback, personal | No record, message may be misunderstood |
| Written (letters, memos, emails, reports) | Record of communication, can be detailed | Slower, may not be read/understood |
| Visual (charts, diagrams, posters) | Easy to understand complex info | May oversimplify, not detailed |
| Electronic/IT-based (emails, video calls, social media, intranet) | Fast, global, can send to many | Risk of overload, technical issues, security risks |
Internal communication: within the business (e.g. memos, emails to staff).
External communication: with outsiders (e.g. letters to customers, adverts).
Choosing a method depends on:
- Urgency (e.g. urgent → phone call).
- Record needed (e.g. legal → written).
- Distance (e.g. international → email/video call).
- Complexity of message (e.g. data → charts).
